Job Description

The Trade Show and Events Manager plays a crucial role in our client-facing event teams, helping to strategically plan and execute exhibit strategies that drive engagement and ROI while exhibiting at trade shows. This role involves a mix of project management, logistics, exhibit hall management, marketing, and partner coordination. This role works closely with Project Managers and cross-functional teams to ensure that contracted exhibit deliverables are seamlessly integrated into the event lifecycle, guaranteeing a flawless on-site execution for our clients. This role requires approximately 40% travel.

Primary Responsibilities

The following outlines the key responsibilities of this position:

Conference Project Management

  • Help develop and execute event strategies that drive pipeline growth, brand visibility, and customer engagement for internal company and external client tradeshows & events.
  • Assist in the planning and execution of a wide range of events, including nationaland global trade shows, virtual and hybrid events, webinars, and partner programs.
  • Support tracking, analyzing, and reporting on event performance metrics, such as lead quality and pipeline influence, to provide recommendations for continuous improvement.

Exhibit Operations & Logistics

  • Manage all on-site logistics in the Exhibit Hall, including load-in, setup, and other compliance tasks before and during the event.
  • Act as the primary liaison with convention centers, hotels, and decorators regarding facility rules, floor plans, and specific exhibitor needs.
  • Oversee shipping and receiving logistics, ensuring all booth materials, deliverables, and promotional items reach their destinations on time.
  • Assist in the management of the comprehensive Trade Show and Events budget, handling forecasting and cost control.

Client & Partner Coordination

  • Establish and maintain professional relationships with clients and internal staff through effective, timely, and reliable communication.
  • Serve as the point of contact for vendor inquiries and lead post-sale outreach to exhibitors, sponsors, and advertisers.
  • Partner with Project Managers, Graphic Designers, and Registration Managers to ensure deliverables—such as branded items, correct registration links, and sponsor logos—are successfully integrated.
  • Draft, manage, and proofread outbound vendor communications, exhibit portals, and signage to ensure absolute accuracy.
  • Collaborate with the marketing and sales teams to develop compelling booth messaging and ensure seamless lead capture and follow-up processes.
  • Other duties as assigned pertaining to the support of the company's objectives.

Professional Competencies and Other Requirements

  • 5–10 years of experience in event planning, tradeshow management, or similar field preferably in a B2B technology environment.
  • Bachelor’s degree or equivalent experience preferred.
  • Experience managing global tradeshows and events a plus.
  • Exceptional project management, multitasking, and time management skills with strict adherence to deadlines.
  • Excellent written, verbal, and proofreading skills to ensure consistent, accurate communication and collateral materials.
  • Proven ability to manage multiple conferences and priorities simultaneously.
  • A collaborative, “can-do” attitude with the ability to work independently as well as seamlessly across cross-functional teams.
  • Proficiency in managing budgets, global logistics, and vendor relationships.
  • Desire to contribute to the success and growth of an organization that values your contributions.
  • Significant travel required (up to 40%) for site checks, planning meetings, and on-site event execution.
